Narrow margins mean the operational detail is the commercial strategy.

Distributors rarely lose money on the deal; they lose it in the handling. A mis-pick, a duplicate purchase, a landed cost that has not been recalculated since the last freight increase, an unclaimed supplier rebate - individually small, collectively the difference between a good year and a flat one. CubeERP is built to make those things visible and, where possible, automatic, on stock figures accurate enough to promise from.

## Figures

- **Per receipt** Landed cost recalculated
- **99%+** Typical stock accuracy with scanning
- **One screen** Order, pick, label and track

## Common problems in this sector

- **Landed cost calculated annually:** Freight, duty and currency move constantly; a cost file rebuilt once a year means some lines have been sold below true cost for months without anybody knowing.
- **Pricing that only one person understands:** Hundreds of customer-specific prices, discounts and promotions accumulate over years. When the person who maintained them leaves, nobody dares change anything.
- **Stock accuracy below the promise:** Orders are taken on a stock figure that is roughly right. Short shipments, split deliveries and apologetic phone calls follow, and each one costs more than the margin on the line.
- **Carrier portals as data entry:** Addresses retyped into two or three courier websites, labels printed, tracking numbers emailed by hand. It is a full-time job that produces nothing.
- **Rebates tracked in a spreadsheet:** Supplier rebate schemes are worth real money and are frequently managed by one person in one file. Claims get missed and nobody notices for a quarter.

## What CubeERP does about it

- **Order entry at pace:** Keyboard-first entry, customer part-number search, templates and repeat orders - designed for somebody taking orders on the phone rather than filling in a form.
- **Trade pricing engine:** Price bands, contract prices, quantity breaks, promotions and cost-plus, with clear precedence and live margin shown on the line as it is entered.
- **Landed cost per receipt:** Freight, duty, clearance and handling apportioned across the lines they relate to at goods-in, so item cost is current rather than historic.
- **Multi-warehouse and bins:** Stock by location and bin with transfer lead times, directed picking and scan-verified packing, so what is promised is what ships.
- **Carrier integration:** Rates, labels, manifests and tracking for the main parcel and pallet networks, with tracking pushed back to the order and emailed automatically.
- **Rebates and supplier terms:** Rebate schemes accrued as purchases are made and claimed on schedule, with supplier performance measured rather than assumed.

## Use cases

### A product group sold below cost

**Scenario:** An importer priced from a cost file rebuilt each January. Sterling moved, freight rose, and one significant product group was sold under true landed cost for most of the year.
**Outcome:** Landed cost is calculated at every receipt and feeds the pricing rules directly. The group was repriced within a week of the change being visible.

### Short shipments as routine

**Scenario:** Stock accuracy sat around 80%. Roughly one order in eight shipped short, generating credits, redeliveries and a customer service workload that was accepted as normal.
**Outcome:** Scanning and cycle counting took accuracy above 99%. Short shipments became rare, and the credit note volume fell to a level that could be reviewed line by line.

## Implementation

1. **Discovery:** A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.
2. **Configuration:** Your sites, warehouses, price lists, approval limits, document templates, workflows and permissions set up to match the business - not a demo tenant with your logo dropped on it.
3. **Data migration:** Customers, suppliers, parts, bills of materials, price lists, open orders and stock balances brought across and reconciled. We migrate, you check the numbers against the old system, and only then do we cut over.
4. **Training & rollout:** Role-based training so the order desk learns the order desk and the warehouse learns the warehouse, with a pilot group first where it makes sense. Documentation and short screen recordings left behind for new starters.
5. **Ongoing support:** UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

## Frequently asked questions

**Can it run a trade counter as well as phone orders?**

Yes - counter mode handles account and cash sales, card payment, immediate despatch and printed receipts, on the same stock and pricing as every other channel.

**Do you integrate with e-commerce platforms?**

Yes. Shopify, WooCommerce and Magento are supported, plus a trade portal for account customers with order history, statements and reordering.

**What about EDI with large retailers?**

Orders in, despatch advices and invoices out in the common formats, with customer-specific labelling so chargebacks stop being a monthly cost of doing business.

**Can we buy and sell in different units?**

Yes. Buy by pallet, stock by box, sell by each, with conversion factors held per item and applied consistently in pricing, picking and reporting.

**How are returns handled?**

Returns are booked against the original order, inspected on receipt and credited or replaced with a reason recorded. Return rates by product and customer are reported.
