Business Management Software in Tamworth

Business Management Software for businesses in Tamworth. CubeERP covers Tamworth and Stoke-on-Trent, Stafford and Lichfield, with on-site implementation and support from our Olney office.

Tamworth is comfortably within a morning’s drive of our Olney office, which means implementation here is done in person rather than over a screen share.

That matters more than it sounds: most of what a system needs to know is learned by standing in the building.

Most businesses do not set out to run on twelve disconnected tools. It happens gradually: a CRM here, a stock spreadsheet there, a shared drive full of quotes, and an accounts package doing three jobs it was never designed for. Business management software is simply the decision to stop. CubeERP holds customers, suppliers, parts, prices, orders, jobs, stock and invoices in one place, with one set of permissions and one audit trail, so a question about any of them has a single answer. It is the difference between a business that reports on itself and a business that argues with itself.

What it does

Inside business management software

The parts of CubeERP that make up business management. Everything here shares one database, so nothing needs re-keying between them.

  • One customer record

Contacts, addresses, delivery instructions, pricing agreements, credit limits, quotes, orders, jobs and invoices on a single record that anybody with permission can read.

  • Work you can see

Every open quote, order, works order and job on one board, filtered by owner, site or status, so the weekly meeting is a review rather than an investigation.

  • Documents where they belong

Drawings, certificates, specifications, photographs and correspondence attached to the customer, order or part they relate to - not in a shared drive organised by whoever saved it.

  • Approvals with limits

Discounts, purchase orders, credit notes and write-offs routed by value to the person allowed to sign them, with the decision and the reason recorded.

  • Alerts instead of chasing

Overdue orders, expiring quotes, late deliveries, stock below minimum and jobs running over estimate all raise themselves rather than waiting to be noticed.

  • Reporting without exports

Dashboards by role and scheduled reports that arrive by email. If somebody is still exporting to Excel to answer a routine question, that is a report we have not built yet.

In practice

Problems this actually solves

Anonymised, but not invented. These are the situations businesses describe to us before they change anything.

  • Twelve tools and no single answer

    The situation

A 60-person business ran a CRM, a quoting spreadsheet, a stock spreadsheet, a shared drive, a job diary and an accounts package. Every management question needed three exports and a reconciliation before anybody could answer it.

    What changed

One system, one record per customer and one set of numbers. The monthly management pack is now produced from live dashboards, and the finance team got most of a week back each month.

  • Growth that outran the process

    The situation

A distributor doubled headcount in three years. The informal process that worked at fifteen people had become a source of daily errors at forty, and the fixes kept being another spreadsheet.

    What changed

Pricing rules, approval limits and order workflows are now enforced by the system rather than remembered by people. New starters are productive in days, and errors are caught at entry rather than at invoicing.

  • A business nobody could take a holiday from

    The situation

Key information - who gets which price, which supplier is reliable, what the customer agreed last time - lived with individuals. Absence was disruptive and turnover was expensive.

    What changed

That knowledge now lives in the system as data and rules rather than in people’s heads. Cover is now possible, and handover is a permissions change rather than a fortnight of briefings.

Getting to you

Roughly53miles from our Olney office

Discovery, training and go-live are done on site as standard - not because it looks good on a proposal, but because most of what a system needs to know is learned in the building.

How it happens

What implementation actually involves

The same process wherever you are, and for Tamworth it is done in person.

  1. 1

    Discovery

A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.

  2. 2

    Configuration

Your sites, warehouses, price lists, approval limits, document templates, workflows and permissions set up to match the business - not a demo tenant with your logo dropped on it.

  3. 3

    Data migration

Customers, suppliers, parts, bills of materials, price lists, open orders and stock balances brought across and reconciled. We migrate, you check the numbers against the old system, and only then do we cut over.

  4. 4

    Training & rollout

Role-based training so the order desk learns the order desk and the warehouse learns the warehouse, with a pilot group first where it makes sense. Documentation and short screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • Very little, in practice. "ERP" is the industry term and tends to imply manufacturing and stock; "business management software" is what people search for when they want the same thing without the jargon. CubeERP is one product either way - you turn on the parts you need.

  • Yes, and most people do. Start with the area that is currently causing the most trouble - usually stock, quoting or job costing - and add the rest as you go. It is the same system, so nothing has to be integrated later.

  • Named users, so you pay for people who actually use it. Warehouse scanning and shop-floor booking terminals are licensed differently from full office users, because a picker with a scanner is not doing the same job as a buyer.

  • Yes. Turn off stock and production and you have a quoting, job, scheduling and invoicing system. Plenty of our conversations start with a business that assumed ERP meant warehouses.

  • The useful ones get migrated and the rest get retired. Part of discovery is working out which spreadsheets are load-bearing, because those are the ones that tell you what the business really needs.

Part of a bigger system

Business management is one part of CubeERP. You can start here and switch the rest on later - it is the same system, not a separate purchase bolted on.
