CRM Software in Bicester

Need CRM in Bicester? CubeERP implements and supports CRM software across Bicester, Oxford, Banbury and Witney and the wider Oxfordshire area.

Being well within our regular travel radius from Olney, Bicester is somewhere we get to regularly.

Discovery, training and go-live are all better done in the room, and at 26 miles that is entirely practical.

The problem with a standalone CRM is that it stops at the order. It can tell you what somebody was promised and nothing about whether it was delivered, what it cost, or whether the account is actually worth having. CubeERP’s CRM shares a record with the rest of the platform, so an opportunity carries through to a quote, an order, a job and an invoice without leaving the system. The salesperson can see the customer’s open orders, delivery performance, credit position and true margin on the same screen as the next call - which changes the conversation considerably.

  • One

    Customer record, sales to invoice

  • Live

Prices and stock inside the quote

  • True

    Margin per account, after everything

What it does

Inside CRM software

The parts of CubeERP that make up CRM. Everything here shares one database, so nothing needs re-keying between them.

  • Accounts and contacts

Companies, sites, contacts and roles held properly, with delivery addresses, agreed pricing, credit position and open orders on the same record as the relationship history.

  • Pipeline that ties to reality

Opportunities with stages, values, probabilities and expected close dates - reported against what actually converted, so the forecast is calibrated rather than optimistic.

  • Activity in one thread

Calls, emails, meetings, site visits and quotes recorded against the account. When somebody leaves, the account history stays.

  • Quote from live data

Build a quote from current prices and real availability, track versions, chase it automatically before it expires, and convert it to an order in one action.

  • Margin per customer

What each account is actually worth after delivery costs, returns, credit notes and the time spent servicing it, rather than revenue alone.

  • Follow-ups that raise themselves

Quote expiry, reorder cycles, contract renewals and lapsed accounts prompt the owner rather than relying on somebody keeping a personal list.

In practice

Problems this actually solves

Anonymised, but not invented. These are the situations businesses describe to us before they change anything.

  • A CRM nobody updated

    The situation

A sales team had a well-known CRM that duplicated the customer list from the accounts package. Because updating it was extra work with no benefit to the person doing it, the data was six months stale within a year.

    What changed

The CRM is now the same record as the order system, so it is updated by the act of doing the job. Pipeline data is current because nobody has to maintain it separately.

  • Quotes into a void

    The situation

A fabricator issued around 200 quotes a month from a spreadsheet template. Nobody knew the conversion rate, which estimator won most work, or how many quotes expired without a follow-up call.

    What changed

Conversion is measured by customer, estimator and product group. Automatic chasing before expiry recovered a measurable share of quotes that previously lapsed in silence.

  • The best customer that was not

    The situation

The largest account by revenue was assumed to be the most valuable. It also generated the most returns, the most emergency deliveries and the longest payment delays - none of which appeared on the sales report.

    What changed

True account profitability now includes delivery cost, returns and credit. The commercial conversation with that customer happened with numbers rather than a feeling.

Getting to you

Roughly26miles from our Olney office

Discovery, training and go-live are done on site as standard - not because it looks good on a proposal, but because most of what a system needs to know is learned in the building.

How it happens

What implementation actually involves

The same process wherever you are, and for Bicester it is done in person.

  1. 1

    Discovery

A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.

  2. 2

    Configuration

Your sites, warehouses, price lists, approval limits, document templates, workflows and permissions set up to match the business - not a demo tenant with your logo dropped on it.

  3. 3

    Data migration

Customers, suppliers, parts, bills of materials, price lists, open orders and stock balances brought across and reconciled. We migrate, you check the numbers against the old system, and only then do we cut over.

  4. 4

    Training & rollout

Role-based training so the order desk learns the order desk and the warehouse learns the warehouse, with a pilot group first where it makes sense. Documentation and short screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • You can - the API will sync accounts and opportunities both ways. But the reason most people move is that two customer lists always diverge eventually, and the one people trust is whichever one raises the invoices.

  • Yes. Emails can be filed against the account and contact, and calendar activity syncs, so a site visit logged in Outlook appears on the account history without anybody copying it across.

  • That is the case it was built for. Multi-stage opportunities, quote revisions, sample and trial tracking, specification documents and multiple decision-makers per account are all first-class rather than bolted on.

  • Yes - account history, stock availability, pricing and quoting all work from a phone or tablet, including creating a quote at the customer’s premises and emailing it before leaving.

  • Segmentation, list building and campaign tracking are included; bulk email sending is normally done through your existing platform via the API, because a mail platform is a specialist job and we would rather integrate than pretend otherwise.

Part of a bigger system

CRM is one part of CubeERP. You can start here and switch the rest on later - it is the same system, not a separate purchase bolted on.
