The van, the job sheet and the invoice, finally on the same system.

Field Service Software in Buckinghamshire

Field Service Software built and supported in the UK, serving Buckinghamshire including Milton Keynes, Aylesbury and High Wycombe. Configured around how you actually work, not the other way round.

Across Buckinghamshire we see the same problem in different clothes: information that exists, but not in one place, and not in a form anyone can act on.

Field Service Software is how you stop paying for that twice.

Field service goes wrong in the gaps: between the call and the schedule, between the engineer and the office, and between the job being finished and the invoice going out. CubeERP closes them. Jobs are scheduled against engineer availability, skills and location; dispatched to a phone or tablet with the site history, asset record and required parts attached; and completed on site with time, materials, photographs and a customer signature. Van stock is real stock, so a part fitted in the field depletes inventory and appears on the invoice. Most businesses that fix this find the biggest win is not efficiency - it is billing work they were previously doing for nothing.

What it does

Inside field service software

The parts of CubeERP that make up field service. Everything here shares one database, so nothing needs re-keying between them.

  • Scheduling with constraints

Assign by skill, certification, location, SLA and van stock, with a drag-and-drop board and travel time factored in rather than optimistically ignored.

  • The job in the engineer’s hand

Site history, asset record, previous faults, manuals, risk assessments and the parts list on a phone or tablet - working offline when the site has no signal.

  • Van stock that counts

Each vehicle is a stock location. Parts fitted are consumed, replenishment is suggested, and the part is on the invoice because it came off the van in the system.

  • Sign-off on site

Photographs, meter readings, test results, checklists and a customer signature captured on completion, timestamped and filed against the job and the asset.

  • Contracts, SLAs and PPM

Service contracts with entitlements, response and fix targets, and planned preventative maintenance visits generated automatically from the schedule.

  • Invoice the same day

Time, parts, mileage and contract entitlement calculated on completion, so the invoice goes out while the customer still remembers the visit.

In practice

Problems this actually solves

Anonymised, but not invented. These are the situations businesses describe to us before they change anything.

  • Job sheets in a glovebox

    The situation

An installation firm ran on paper job sheets returned weekly. Invoicing lagged by up to three weeks, sheets went missing, and chargeable parts were regularly unbilled.

    What changed

Jobs complete on a phone and invoice the same day. Debtor days improved by more than a fortnight, and previously unbilled parts turned out to be a meaningful annual figure.

  • Van stock as a rumour

    The situation

Eleven vans carried stock that existed in nobody’s system. Engineers hoarded scarce parts, the office over-ordered to compensate, and total inventory was far higher than it needed to be.

    What changed

Each van is now a stock location with min/max replenishment. Total stock fell noticeably while first-time fix rate went up, because the right parts were in the right van.

  • Maintenance visits that slipped

    The situation

Planned maintenance under contract was tracked in a calendar. Visits slipped when reactive work got busy, and two contracts were breached before anybody noticed.

    What changed

PPM visits are generated from the contract and scheduled ahead of reactive work by rule. Contract compliance is now reported rather than hoped for.

Discovery, training and go-live are done on site as standard - not because it looks good on a proposal, but because most of what a system needs to know is learned in the building.

How it happens

What implementation actually involves

The same process wherever you are, and for Buckinghamshire it is done in person.

  1. 1

    Discovery

A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.

  2. 2

    Configuration

Your sites, warehouses, price lists, approval limits, document templates, workflows and permissions set up to match the business - not a demo tenant with your logo dropped on it.

  3. 3

    Data migration

Customers, suppliers, parts, bills of materials, price lists, open orders and stock balances brought across and reconciled. We migrate, you check the numbers against the old system, and only then do we cut over.

  4. 4

    Training & rollout

Role-based training so the order desk learns the order desk and the warehouse learns the warehouse, with a pilot group first where it makes sense. Documentation and short screen recordings left behind for new starters.

  5. 5

    Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • Yes. Jobs, history and parts lists are cached on the device, and completions queue and sync when the connection returns. Plant rooms and rural sites are exactly where the signal is worst and the job is most complicated.

  • Yes - appointment confirmations, on-the-way notifications and a tracking link can be sent automatically. It removes most of the "what time are they coming" calls from the office.

  • Yes. Each asset has a record with serial number, install date, warranty, service history, meter readings and documents, so an engineer arrives knowing what happened last time.

  • Entitlement is checked at job creation and again at completion. Work inside the contract is recorded and not billed; work outside is flagged for authorisation on site so it can actually be charged.

  • Yes, including sequenced visits, jobs requiring two engineers, and installation projects with staged deliveries and sub-contractors booked against the same job.
