Worcester is comfortably within a morning’s drive of our Olney office, which means implementation here is done in person rather than over a screen share.
That matters more than it sounds: most of what a system needs to know is learned by standing in the building.
Quoting is where margin is won or lost, and in most growing businesses it is done in a spreadsheet that only one or two people fully understand. CubeERP builds quotes from the same live data as the rest of the platform: current material prices, current labour rates, real lead times and actual availability. Multi-level assemblies can be estimated from a bill of materials, versions are tracked so a revision does not overwrite the history, and a won quote becomes an order and a works order in a single action. Afterwards the estimate is held against the job, so you find out whether the quote was right rather than assuming it was.

What it does
Inside quoting & estimating software
The parts of CubeERP that make up quoting. Everything here shares one database, so nothing needs re-keying between them.
Live cost, not last year’s
Material costs pulled from current supplier prices and stock valuation, labour from current rates, and overhead recovery applied by the rule you actually use.
Estimate from a bill of materials
Price a multi-level assembly from its components and operations, including sub-contract, scrap allowance and set-up time, rather than from a guess based on something similar.
Versions and approvals
Every revision kept, with what changed and who approved it. Discounts beyond a threshold need sign-off, and the reason is recorded against the quote.
Documents that look like yours
Branded quote templates with your terms, drawings and certificates attached, issued by email with acceptance tracked - including online acceptance where you want it.
Chasing without a diary
Automatic follow-ups before expiry, escalation for high-value quotes, and a clear list of what is outstanding rather than a personal spreadsheet per estimator.
Estimate versus actual
Once the job runs, actual material and labour are compared against the estimate. The next quote is informed by the last one instead of repeating its mistakes.
In practice
Problems this actually solves
Anonymised, but not invented. These are the situations businesses describe to us before they change anything.
A quoting spreadsheet with a single owner
The situation
An engineering firm quoted from a spreadsheet built years earlier by an estimator who had since retired. Nobody was confident about the overhead assumptions inside it, and nobody wanted to be the one to change them.
What changed
Costing rules are now explicit, visible and maintained centrally. Three people can quote confidently, and the assumptions can be reviewed without archaeology.
Winning the wrong work
The situation
A fabricator had a healthy win rate and disappointing profits. Analysis after the fact showed the quotes being won were consistently the ones where the estimate had been optimistic.
What changed
Estimate-versus-actual reporting made the pattern obvious within a quarter. Pricing on that product family was corrected, win rate fell slightly, and gross margin improved.
Quotes that quietly expired
The situation
A supplier issued quotes and waited. Around a third were never followed up, because chasing depended on individuals remembering, and busy weeks meant nobody did.
What changed
Follow-ups now generate themselves before expiry and escalate by value. The recovered conversion on previously-lapsed quotes paid for the module several times over.

Discovery, training and go-live are done on site as standard - not because it looks good on a proposal, but because most of what a system needs to know is learned in the building.

All of WorcestershireHow it happens
What implementation actually involves
The same process wherever you are, and for Worcester it is done in person.
- 1
Discovery
A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.
- 2
Configuration
Your sites, warehouses, price lists, approval limits, document templates, workflows and permissions set up to match the business - not a demo tenant with your logo dropped on it.
- 3
Data migration
Customers, suppliers, parts, bills of materials, price lists, open orders and stock balances brought across and reconciled. We migrate, you check the numbers against the old system, and only then do we cut over.
- 4
Training & rollout
Role-based training so the order desk learns the order desk and the warehouse learns the warehouse, with a pilot group first where it makes sense. Documentation and short screen recordings left behind for new starters.
- 5
Ongoing support
UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.
You might call it something else
Quoting goes by a lot of names - if you are searching for any of these, this is the page you wanted.
Questions
The things people ask first
Yes. Configurable products with options, dimensions and rules generate their own bill of materials and price, so a made-to-order item can be quoted accurately without an engineer being pulled off other work to do it.
Yes - supplier price files can be imported on a schedule, with change reports so a 12% increase on a key raw material is noticed before it appears in a quote rather than after.
The quote converts to a sales order, and where relevant to a works order and purchase requisitions, in one action. Nothing is retyped, and the estimate stays attached for later comparison.
Yes. Quotes can be issued with an accept link, which records acceptance with a timestamp and converts the quote automatically. It removes the "I thought you had that in writing" conversation.
Both. You can price from cost with a margin rule, price to a target and see the resulting margin, or work backwards from a customer’s target price to find out whether the job is worth taking.
