If your business already lives inside Microsoft 365, Business Central is the obvious candidate, and sometimes the right one.

What Business Central actually is

Business Central is Microsoft’s ERP for small and mid-sized organisations, descended from Navision.

It is licensed per user, with Essentials and Premium tiers - Premium adding service management and manufacturing - plus a much cheaper Team Members licence for light, mostly read-only use. It is sold and implemented through Microsoft partners, and it integrates closely with Microsoft 365, Power BI and the wider Power Platform. Extensions are built in AL and distributed through AppSource. For an organisation already standardised on Microsoft, the identity, reporting and productivity integration is a real and underrated advantage.

These are the real reasons it has the customers it has. If two or more of them describe something you need, weight them heavily.

  • Best-in-class integration with Microsoft 365, Entra ID, Power BI and the Power Platform - single sign-on and reporting come almost free.

  • A per-user licensing model with a cheap Team Members tier, which suits businesses with many occasional users.

  • Mature, well-documented extensibility in AL, with a large AppSource marketplace and a very large developer pool.

  • The reassurance of a platform vendor that is not going anywhere, with a predictable release cadence.

Questions to put to them before you sign

None of these are faults. They are design decisions with consequences, and every one of them is answerable - so ask.

  • Essentials versus Premium is a real fork

    Manufacturing and service management sit in Premium. If any part of your operation needs works orders or service jobs, that is the tier for everybody on that licence type, including people who never use those modules. Model it properly before signing.

  • Depth often comes from AppSource

    Warehouse operations beyond the basics, advanced traceability, EDI, shop-floor data capture and field service are commonly delivered by third-party extensions. Each is a separate subscription and a separate compatibility dependency at each Microsoft release.

  • The partner still decides your outcome

    Microsoft does not implement Business Central. A partner does, and partners vary widely in sector experience. A partner who has never implemented for a manufacturer will configure it like a distributor.

  • Update cadence is not optional

    Business Central has a fixed major release rhythm. That keeps you current, but it also means your extensions must keep pace, and an unmaintained AppSource extension becomes your problem rather than Microsoft’s.

When Business Central is the better choice

If you are heavily invested in the Microsoft stack, need financials and operations in one system, and have a lot of occasional users who would fit the Team Members licence, Business Central is a strong and sensible choice. If you also have in-house Power Platform skills, that advantage compounds. We would rather you bought it than bought CubeERP and regretted the Microsoft integration you gave up.

    The AppSource extensions in play determine most of the migration effort and most of the current cost. We list them, note what data each holds, and identify which ones CubeERP replaces outright.

    Single sign-on carries over

    CubeERP supports single sign-on against Microsoft Entra ID, so the identity and access model your IT team already runs does not have to change.

    Power BI keeps working

    If your reporting is built in Power BI, it stays. CubeERP exposes the same data through its API and a documented Power BI connector, so existing dashboards are re-pointed rather than rebuilt from nothing.

What people ask when comparing us with Business Central

  • On native Microsoft integration, in some respects yes. Nothing integrates with Microsoft 365 quite like a Microsoft product. We support Entra ID single sign-on, Microsoft 365 and Power BI, but if that integration depth is your primary requirement, Business Central deserves serious consideration.

  • Business Central splits users into Essentials, Premium and Team Members, so cost depends heavily on your mix. CubeERP has one tier with everything included, which is simpler but does not have an equivalent of the very cheap Team Members licence. Model your actual user profile rather than comparing headline rates.

  • Most of the operational ones - warehouse, traceability, EDI, shop-floor capture, despatch - are functions CubeERP includes as standard, so they are replaced rather than migrated. We confirm this extension by extension at discovery.

  • Yes. Running CubeERP for operations and posting into Business Central for financials is a supported pattern, and the API to do it is included rather than separately licensed.

  • No. We have no affiliation with Microsoft and we do not implement or support Business Central. We integrate with Microsoft services and we migrate data out of Business Central when asked.
