What SAP B1 actually is

SAP Business One is SAP’s ERP product for small and medium businesses and subsidiaries of larger groups, covering accounting and financials, purchasing, inventory, sales, customer relationships, reporting and analytics.

It is delivered exclusively through SAP partners, who handle the sale, the implementation, the localisation and usually the hosting. It runs either on SAP HANA or on Microsoft SQL Server, and there is a substantial ecosystem of partner-built industry add-ons. If you are a UK subsidiary of a group that already runs SAP, the case for Business One is close to made before the conversation starts - group reporting alignment is worth a great deal.

  • Full multi-entity, multi-currency and multi-language capability, which matters enormously if you have overseas subsidiaries.

  • A deep, mature feature set built over decades, with very few functional gaps in core finance and distribution.

  • A worldwide partner network, so you can find local implementation and support in most territories you might expand into.

  • Alignment with group SAP reporting if your parent company already runs SAP.

Questions to put to them before you sign

None of these are faults. They are design decisions with consequences, and every one of them is answerable - so ask.

  • Everything goes through a partner

    Licensing, implementation, localisation, hosting and support are all delivered by an SAP partner rather than SAP. The quality of your system is the quality of your partner. Change partner and you effectively change supplier.

  • Industry depth is usually an add-on

    Manufacturing execution, advanced warehouse operations, field service and sector-specific compliance are commonly delivered by partner-built add-ons. Each has its own licence, support route and upgrade dependency, and add-on compatibility can gate your ability to take SAP updates.

  • Implementation is a project, not a setup

    Business One implementations are typically measured in months and involve a defined methodology, a consultant team and a meaningful services budget. That rigour is a strength on a complex multi-entity rollout and an overhead on a fifteen-user single-site business.

  • Sizing for the business you are

    Business One is designed for the small end of SAP, which is still a broad range. Ask yourself whether you need multi-entity consolidation and international localisation, or whether you are buying capability you will not use.

When SAP B1 is the better choice

If you are the UK arm of a group that runs SAP, or you need multi-entity consolidation across several countries and currencies with local statutory reporting in each, SAP Business One is the better product and we would not pretend otherwise. The same applies if your parent company mandates the platform - that is a governance decision, not a software one.

    Establish what the add-ons hold

    The first question in any Business One migration is which partner add-ons are installed and what data lives inside them rather than in the core tables. That determines almost all of the effort.

    Decide the financial boundary early

    Business One includes full financials. Moving to CubeERP means deciding whether the ledger moves to Xero, Sage or QuickBooks, or stays in Business One with CubeERP running operations. Both are workable; the decision drives the whole plan.

    Master data is usually clean

    One benefit of coming off a mature ERP is that the master data is generally in good order, which makes migration considerably more predictable than coming off spreadsheets.

What people ask when comparing us with SAP B1

  • Usually cost-to-value at the small end: a business of thirty people carrying multi-entity, multi-currency capability it never uses, plus several partner add-on licences, plus a services relationship it did not choose. If you do use that capability, staying is the right call.

  • Not across the same breadth - Business One covers international localisations and consolidation scenarios that we deliberately do not. For a UK manufacturer or distributor running one or two sites, the capability that actually gets used is comparable, and the licensing and implementation are simpler.

  • Yes. A common arrangement is CubeERP running UK operations and posting summarised financial data into the group system through the REST API. Since the API is included rather than licensed separately, this does not add a per-connector cost.

  • Longer than coming off Sage 50, shorter than the original Business One implementation. The variables are the number of add-ons, whether financials move, and how much transaction history you insist on carrying. We scope all three at discovery.

  • No, and we would not claim to. We are not an SAP partner and have no affiliation with SAP. We migrate data out of Business One; we do not implement or support it.
