Sage 200 is the most common system we are asked to replace, and the most common one we tell people to keep.

What Sage 200 actually is

Sage 200 is a business management system built outwards from a very good accounting core.

It is available as Standard and Professional editions, with Professional adding warehouse management, batch and serial traceability, project accounting and a much larger add-on marketplace. It is bought and implemented through Sage business partners rather than direct, and the partner you pick makes an enormous difference to how the project goes. For a UK company whose main problem is finance, and whose operational needs are met by the standard order processing and stock modules, it is a sound and well-supported choice. The reason people call us about it is usually the opposite situation: the finance side is fine, and the operational side has been extended with three or four marketplace add-ons that each hold a bit of the truth.

These are the real reasons it has the customers it has. If two or more of them describe something you need, weight them heavily.

  • A strong UK finance core. VAT, Making Tax Digital and statutory reporting are handled properly and kept current.

  • Enormous accountant familiarity. Almost any UK finance professional you hire will already know how it behaves.

  • A large partner and add-on ecosystem, so there is usually somebody who has solved your specific problem before.

  • Deep Microsoft 365 integration, which matters more than it sounds when your team lives in Outlook and Excel.

Questions to put to them before you sign

None of these are faults. They are design decisions with consequences, and every one of them is answerable - so ask.

  • Editions decide what you get

    Warehouse management, batch and serial traceability and project accounting sit in Professional rather than Standard. If your requirements grow into those areas, the answer is an edition change rather than a configuration change. Worth mapping before you commit, not after.

  • Operational depth often arrives as add-ons

    Manufacturing, advanced warehouse operations, field service and EDI are frequently delivered by third-party marketplace products rather than the core. Each is a separate contract, a separate support route and a separate upgrade cycle, and each one holds a piece of your data.

  • The partner is the product

    You buy Sage 200 through a reseller, and your experience of it - configuration quality, response times, upgrade handling - is largely theirs rather than Sage’s. This can be excellent. It can also mean the people who configured your system are not the people who support it.

  • Pricing is quoted, not published

    Licensing, hosting, the partner’s implementation fee and any marketplace add-ons are separate lines from potentially separate suppliers. Ask for the full first-year and third-year totals in one document, including add-on renewals, before comparing anything.

When Sage 200 is the better choice

If your central problem is finance rather than operations - consolidations, project accounting, complex VAT, a demanding auditor - Sage 200 Professional is very likely the better answer, and we will say so. The same applies if your accountant, your bank and your auditor all already work in the Sage world and the cost of moving them exceeds the cost of the operational mess you are trying to fix.

    Your ledger can stay put

    The most common outcome is not a migration at all. CubeERP takes over quoting, orders, stock, production and despatch, and posts invoices and credits into your existing Sage ledger. Your accountant notices nothing except cleaner data.

    Master data first, history second

    Customers, suppliers, the product list, price lists and open orders move first, because that is what you need on day one. Transaction history is a separate decision - most businesses keep read-only access to the old system for a year rather than paying to migrate a decade of postings.

    Add-ons are where the surprises live

    Before quoting we list every marketplace add-on you run and where each one holds data. That list is almost always longer than the person we are talking to expects, and it is the single biggest driver of migration effort.

What people ask when comparing us with Sage 200

  • No, and most customers do not. CubeERP is an operations system, not an accounting package. It runs quoting through to despatch and posts the resulting invoices, credits and purchase invoices into Sage. Keeping your ledger where your accountant expects it is usually the cheaper and less disruptive route.

  • Usually, but the licence comparison is the least interesting part. Sage 200 is quoted through a partner with licence, hosting, implementation and any marketplace add-ons on separate lines, so the fair comparison is total three-year cost with every add-on renewal included. Ask both suppliers for that figure in writing.

  • You have two routes: move up to Professional, or move the operational side to a system that includes warehouse management and traceability as standard. Which is right depends on whether the limits you are hitting are financial or operational. If it is purely a finance limitation, Professional is the better answer.

  • For a single-site business keeping its Sage ledger, discovery to go-live is typically a matter of weeks rather than months, because there is no financial migration and no year-end to work around. Multi-site operations with heavy transaction history take longer, and we scope that at discovery rather than guessing.

  • Most are replaced rather than integrated, because their function - warehouse management, traceability, EDI, despatch - is in the CubeERP base product. We list each one at discovery, confirm what data it holds, and tell you which contracts you can end and which you should keep.
